1. General Information
Identification: Always carry a copy of your passport (the orginal one for 25/11), visa, and other important documents. Keep the originals in a secure place, like a hotel safe.
Emergency Numbers: Familiarize yourself with local emergency numbers, including police (100), ambulance (102), and fire services (101). The event organizers will provide emergency contacts as well.
Venue Safety: Familiarize yourself with the safety measures at the event venues, including emergency exits, first aid stations, and security arrangements.
Security Protocols: Follow security instructions provided by the event management team. Wear your event ID badges at all times while at the conference.
An adequate number of fire marshals, bouncers, and security guards will be deployed on-site, ensuring the safety and security of all attendees throughout the five-day event. Additionally, two fire brigades will be stationed at the venue, fully equipped to handle any emergency situations that may arise.
Sexual Harassment Committee: IFFCO has an internal Sexual Harassment Committee to address any issues related to sexual harassment in the workplace. This same committee will also be responsible for addressing any concerns related to harassment at the event venue. The committee is empowered to handle such matters with efficiency and confidentiality, ensuring a safe, respectful, and dignified environment for all participants. Moreover, with stringent preventive measures and comprehensive oversight in place, the likelihood of any such incidents occurring during the event is minimal.
2. Connectivity
Internet and Communication:
Wi-Fi Availability: Most hotels, restaurants, cafes, and shopping centers in New Delhi offer free Wi-Fi services. However, connection speeds and reliability can vary. For critical tasks requiring stable internet, consider alternative options.
Public Wi-Fi: While some public areas provide free Wi-Fi, these networks may not be secure. Avoid accessing sensitive information or conducting financial transactions over unsecured public networks.
Local SIM Cards:
Where to Purchase: Local SIM cards are available at the Indira Gandhi International Airport and at numerous telecom shops throughout the city. Major providers include Airtel, Jio, Vodafone Idea, and BSNL.
Required Documents:
Passport: Original and photocopy of your passport's photo and visa pages.
Passport-sized Photographs: Usually two recent photos (Many SIM card vendors now offer the convenience of taking your photograph on-site)
Proof of Address: Your hotel address is typically acceptable.
Activation Time: SIM cards may take anywhere from a few hours to 24 hours to activate.
Prepaid Plans: Various prepaid options are available, offering combinations of data, voice calls, and SMS. Staff at the point of purchase can help you select a plan that fits your needs.
SIM Card Registration: India has strict regulations requiring SIM cards to be registered under your name using your provided documentation.
International Roaming:
Roaming Packages: Check with your home mobile service provider for international roaming packages. While convenient, this option is generally more expensive than using a local SIM card.
Coverage and Rates: Confirm that your provider offers coverage in India and inquire about rates for data, calls, and texts.
3. Climate in New Delhi
Weather: In November, the weather in most parts of India is mild and pleasant, but temperatures can vary. Bring layers for cooler mornings and evenings, especially in New Delhi and other northern parts of India.
Comfortable Footwear: You may need to walk during sightseeing or events, so comfortable walking shoes are recommended.
4. Currency and Payments
Currency:
Indian Rupee (INR): Denominations include coins of ₹1, ₹2, ₹5, ₹10 and banknotes of ₹10, ₹20, ₹50, ₹100, ₹200, ₹500, and ₹2000.
Exchange Rates: Check the current exchange rates prior to your trip. Rates can fluctuate daily.
Currency Exchange:
Authorized Dealers: Exchange money at banks, authorized exchange bureaus, or at the airport. Avoid unauthorized street vendors.
Documentation: You may be required to present your passport when exchanging currency.
Receipts: Keep your exchange receipts; they may be necessary if you wish to convert INR back to your home currency upon departure.
ATMs:
Availability: ATMs are widespread in urban areas, including airports, hotels, and shopping districts.
Accepted Cards: Most ATMs accept international debit and credit cards affiliated with Visa, MasterCard, Cirrus, or Maestro.
Withdrawal Limits: Daily withdrawal limits may apply, both from your home bank and the local ATM operator.
Fees: Be aware of potential foreign transaction and ATM usage fees.
Credit and Debit Cards:
Acceptance: Widely accepted in hotels, upscale restaurants, and major retail stores.
PIN Requirement: Some transactions may require a PIN, so ensure you know your card's PIN code.
Security: Always keep an eye on your card during transactions to prevent fraud.
Cash Usage:
Small Denominations: Keep smaller bills handy for taxis, tips, and small purchases, as vendors may have limited change.
Counterfeit Awareness: Familiarize yourself with the security features of Indian currency to avoid counterfeit notes.
Digital Payments:
Mobile Wallets: Services like Paytm, PhonePe, and Google Pay are prevalent but typically require an Indian bank account and phone number.
Contactless Payments: Increasingly available but not yet ubiquitous; carry alternative payment methods.
5. Electricity
Plug Type: India primarily uses Type D sockets, which have three round pins arranged in a triangular shape. Type D sockets can accommodate both Type C and Type D plugs.
Voltage: The standard voltage in India is 230V, and the frequency is 50Hz. This is compatible with most devices from Europe, Asia, and many other regions, but if you’re traveling from countries like the United States or Canada, your devices might need a voltage converter.
6. Healthcare and Emergency Services
Vaccination:
Ensure all routine vaccinations are up to date. It is recommended to check with a healthcare provider for any necessary travel vaccinations, such as hepatitis A, typhoid, flu and others as per individual health needs.
Concerning COVID-19, while the government of India currently does not impose any obligations on international delegations, please consider consulting with medical professionals, and if necessary, take steps in advance to ensure appropriate vaccinations and preparations are made.
Personal Medication: Bring enough personal prescription medications for the entire trip, along with a copy of the prescription.
Mosquito Protection: In some areas, there may be a risk of mosquito-borne diseases. While New Delhi and tour visit destinations are not high-risk areas, we still recommend using insect repellent and wearing long sleeves and pants in the evenings as a precaution.
Food and Water Safety
Drinking Water: Drink only bottled or filtered water. Avoid tap water, including for brushing your teeth, and request sealed water bottles.
Food Precautions: Eat at well-known restaurants or venues. Avoid street food or uncooked dishes unless you are confident about hygiene standards.
Medical Assistance:
Several top-level hospitals are located near the venue and designated hotels.
Two ambulances fully equipped with essential medical supplies to handle any health emergencies, will be readily available at the venue throughout the event. Trained medical staff from IFFCO will be on-site to provide immediate assistance if needed.

7. Passport Control
Visa Requirements: A valid visa is required to enter India. E-visas can be applied for online.
Passport Validity: Must be valid for at least six months from your date of entry.
Arrival Documents: Keep your passport, visa approval, return ticket, and hotel reservation confirmations accessible.
8. Public Transportation and Rentals
Local Transportation: Use official, reliable, and recommended transport services during your stay. Avoid unregistered cabs or ride-sharing services unless approved by event organizers.
Shuttle buses: IFFCO will provide shuttle buses from the designated hotels to the event venue on all five days to ensure seamless transportation for all participants. The shuttle service will operate at regular intervals, with clear schedules shared in advance to avoid any inconvenience. Additionally, dedicated staff will be available at both the hotels and the venue to assist guests with boarding and provide any necessary information regarding the shuttle timings.
9. Restaurants in New Delhi
Cuisine Variety: New Delhi offers a diverse culinary scene, from traditional Indian dishes to international cuisines.
Recommended Areas:
Khan Market: Known for upscale restaurants and cafes.
Connaught Place: Features a variety of eateries and bars.
Hauz Khas Village: Offers trendy restaurants, bars, and art galleries.
Food Safety: While street food is tempting, choose vendors with high turnover and good hygiene practices.
Dietary Options: Vegetarian, vegan, and halal options are widely available.
10. Interpretation Equipment
Interpretation equipment will be made available to all delegates requiring it during the Conference. English, French, Spanish and Hindi interpretation is provided. Other languages may be provided by delegations.
The receiver (interpretation equipment) will be placed on a table or a chair of each session room. After using it, leave it where you found it.
11.Dress Code
The conference dress code will be smart casual or you may also wear business suits. Delegates are encouraged to wear national dress as we celebrate how a truly global cooperative movement can build a better world.
